Today, it is one of the most talked-about wedding venues in Gloucestershire. Bibury is a Cotswold market town that is famous for Arlington Row, Trout Farm, a picturesque 14th-century row of cottages, and a tourist attraction.

Couples are often positively surprised by the extent to which our staff goes to make their day special. The team truly loves weddings, and they will do anything they can to make the day more seamless. Team members have been known to offer lifts to guests who are stuck too! 

Who is the Swan Wedding Venue best suited for?

Any couple! The main hotel spaces and packages mean the hotel can make the day truly bespoke for you. From intimate weddings with pets to large, elaborate weddings, they have spaces that can be completely transformed to suit you.

How many guests can The Swan Hotel accommodate, and is it available for exclusive hire?

The Swan Hotel can host up to 110 guests for the wedding ceremony in the daytime and 150 for the evening reception. The Sawn wedding venue offers different wedding packages and they have a minimum guest count but custom quotes are made to fit the couple’s wedding day plans.

The venue does not offer full exclusive hire. The brasserie stays open at the other end of the hotel on wedding days. That said, only one wedding takes place per day, your day is never shared with another couple.

When should I book? What dates are available, and how does pricing work at The Swan Wedding Venue Bibury?

The Swan Hotel team recommends booking your wedding date at least six months ahead. No wedding date is held without a contract or deposit. Last-minute slots do come up, typically in winter or midweek.

Prices vary between summer (April–September) and winter (October–March). There is also a smaller difference between a weekday wedding and a weekend wedding. If you need to move your date, the venue can be flexible, but a price match is not guaranteed, especially if you move from midweek in January to Saturday in May. No guarantee to get a desirable date in any case.

How much does a wedding at The Swan Hotel cost and what’s included?

Prices start from £4,750 for 40 guests for 2027. In peak summer, the cost is approximately £15,000 if the couple also covers some of the required bedrooms. 

The standard package covers more than most couples expect. The standard package includes room hire, a three-course meal, three canapés per person, two drinks during the reception, half a bottle of wine per person, a toast drink, evening food, all cutlery, crockery, furniture, etc.

What are the hidden costs at The Swan Hotel and how can couples save money?

There are no hidden costs, but a few extras are worth knowing about. The garden ceremony, any extra hours beyond the standard finish time, and food or drink upgrades all incur an additional cost.

On saving money: The standard drinks package is generous. Guests can buy anything extra at the bar themselves. Regarding accommodation, couples are not expected to cover every guest’s room no matter how far they have travelled.

The most useful advice from the team: make the day about the two of you. Trying to cater to every guest’s preference adds cost without adding meaning.

Bibury Swan Hotel holds a full licence for outdoor garden ceremonies. The indoor Signet Room for larger weddings and the Library for up to 30 guests both hold licences.

The ceremony (if held indoors), the wedding breakfast, and the evening reception all take place at the same venue, which includes a bar for the drinks reception and for guests to use in between events, ensuring they always have a place to go while the room is being prepared.

All event spaces are on the ground floor. The venue has an accessible toilet, a lift, and several accessible bedrooms, making it a practical choice for guests with mobility needs.

The couple required 10 bedrooms for their evening reception, and in addition to those, smaller breakout rooms such as the writing room, library, and gardens provide good private spaces. 

For guests who want to step away from the music, the library and writing room are ideal. Both sit away from the main event space and offer a quieter place to sit and talk. In winter, the writing room has a lit fire, warm, relaxed and is a natural gathering spot for guests who want a quieter end to the evening.

Suppliers, décor and planning support at the Swan Hotel: what’s included and what do couples bring?

Catering and the bar are handled in-house by the Swan Bibury team. The couple sources everything else, including the DJ, florist, décor, photographer, videographer, and entertainment.

The team is happy to recommend wedding suppliers and help with décor setup on the day, but the venue team can’t liaise with them on your behalf. Each couple is assigned a dedicated wedding and events manager. The wedding coordinator oversees the entire planning process and is present on the wedding day.

There is a recommended supplier list, but couples are not required to use it. New suppliers are welcomed every year.

The standard package includes tables, chairs, tablecloths, napkins, glassware and cutlery. Anything beyond that, floral arrangements, lighting, arches, or additional décor, is brought in by the couple.

A few things to know about décor restrictions: candles must sit in a holder, and confetti must be biodegradable. Sparklers are welcome. Smoke machines and fireworks are not permitted.

All food is prepared in-house by the kitchen team. The Swan Hotel has a vast wedding breakfast menu. The wedding breakfast menu offers around nine choices per course, so guests are rarely short of something they love.

Couples get a complimentary tasting after booking. They can try two options from each course at no extra cost. Additional courses are available at a small surcharge. Tastings are not offered before booking.

Menus can be tailored to suit the couple’s vision. Past weddings have featured tapas, barbecue and feasting-style menus. These may carry an additional cost, as the standard package is built around a three-course meal.

Dietary requirements are handled with care. The kitchen team adapts dishes to accommodate vegan, gluten-free, halal-style, and allergy needs, aiming to serve every guest the same dish whenever possible instead of providing a separate alternative.

The bar at Swan wedding venue: options, limits and what couples need to know

The bar runs as a standard cash bar with no minimum spend. Couples who want more control can set up an unlimited tab or pre-order large quantities of specific drinks ahead of the day.

In some cases, the venue allows you to bring your alcohol. The Swan venue reviews it on a case-by-case basis and depends on whether the venue’s suppliers can provide the requested items.

There are no set drink limits per guest. The venue team reserves the right to refuse service where needed, in line with licensing law. The bar closes when room hire ends, in most cases at midnight.

The Swan has 22 bedrooms on site. Five rooms sleep up to four guests, and the rest are double occupancy, giving the wedding party and close guests the option to stay without travelling far at the end of the night.

Room 11 is the dedicated bridal suite. Couples on the winter package receive it complimentary on their wedding night. 

There is no formal getting-ready room as standard. In practice, couples find their bedrooms work well for getting ready. Room 11 and Whooper, one of the on-site hot tub cottages, are the two most popular choices for bridal preparations on the morning of the wedding. Most couples stay the night before and use their room to get ready.

Supplier access, setup times and how to prepare for your wedding day at The Swan Gloucestershire

Suppliers can access the venue from 8am on the wedding day. Earlier access is available on request. External suppliers are asked to clear their equipment by 10am the following morning. Couples have until after check-out to collect their items.

Staff, coordination and on‑the‑day support

The one thing the team asks of couples: share as much detail as possible before the day. The more the wedding manager knows in advance, the less the couple needs to consider on the day itself. No detail is too small.

How late can music and the party run, and does this change at different times of year or days of the week?

Midnight is the standard finish time, but we can do an extended 1 a.m. finish at an additional cost.
